Payroll procedures are complicated no matter how large or small the business is. And even if the payroll service is outsourced and the company who deals with it is professional with a good reputation it is still quite possible for errors to be made. It only takes one typo to throw up a whole set of confusing errors when it comes to software. But there are many other different types of payroll service errors that can occur. Here are just some of them.
· Out of date legislation. Government rules and regulations are changing and evolving all the time and it is easy to fall behind instead of keeping up with them. This can easily affect the amount of pay the employees receive. There should be procedures put into place that ensure regular and frequent checks are made for updating government regulations.
· Being late with payments. Employees have a right to be paid on time; if they are not it can adversely affect morale and loyalty. Regularly paying their employees late can give the company a bad reputation. Employees will begin to think that the business is having financial problems and they may bail out, thus costing the company even more to source and train new staff.
· Not keeping to deadlines is another error that payroll services can make. Tax and other legal things should always be submitted on time to avoid hefty fines and other problems.
· Software problems are possible with any company that uses software, but to remain professional a payroll service company should ensure that all software glitches and bugs are ironed out before they start to use it. Additionally they should ensure their staff is highly trained and experienced with the use of the software so that there is less chance of errors occurring.
· Not keeping records for the required length of time. By law all records should be kept for seven-ten years, depending on the country. If they are not it can cause all kinds of problems that will cost the company in terms of time and money. Large fines are imposed for not having all the previous information available whenever necessary.
· Out of date filing systems. Some payroll service companies depend on traditional paper-based filing systems. But documents and important information can easily be lost this way. Electronic filing systems with external backup are the safest way to keep files and data.
· No back-up systems. Accidents happen; flood, fire, storm, viruses and break-ins that are all likely to destroy information can happen at any time. Safe back-up systems both internal and external are needed to ensure safety of all documents. When important data is lost it can really affect the running of the business.
· Computer incompatibility. The service provider should ensure that all their computer systems will integrate seamlessly with that of the clients. This is especially important where email is used to transfer documents.
· Trying to sell you too many services. It is natural for any company to want to sell the optimum amount of services, but if you don't need them you are paying out money for nothing.
